Boomi – Silverstone Hospitality event
The Outsourced Events team partnered with our long standing client Boomi to craft an unforgettable weekend at Silverstone’s Paddock Club. With meticulous planning and our signature ‘white glove’ service, the event was flawlessly executed, featuring thoughtful touches that made it a standout corporate hospitality experience.
The brief
Work alongside Boomi to create an exclusive and memorable weekend at Silverstone, in the Paddock Club with McClaren, for 15 specially chosen guests – 5 different guests on each day of the 3-day weekend. Deliver a ‘white glove’ service to ensure every detail of the weekend was taken care of in style, including accommodation, transfers, dinners as well as some special touches.
Services to be provided
- Outsourced Events team member to be onsite, co-ordinate all aspects of the weekend and be available to contact throughout the 3-day race weekend.
- Offer a concierge service for all guests – ensuring their personal requests are met.
- Arrange accommodation for Boomi and their guests, as near to the circuit as possible.
- Co-ordinate VIP transfers (including refreshments) to and from the hotel and Silverstone on all days for clients.
- Guest welcome at the hotel including distributing the day passes, offering refreshments and being the contact point for all attendees.
- Organise dinners close to the circuit on each night for Boomi to host their guests.
- Create and distribute personalised branded gifts to serve as a reminder of a memorable weekend.
Highlights
The weekend went off without a hitch and the client experience was seamless. The clients were thrilled with the personalised Belgian chocolate racing cars (dusted in edible gold!). These were given at the end of the day alongside a personal ‘Thank you’ card from the Boomi host. We also offered a mini bottle of Moet & Chandon Champagne for each guest as they transferred to/from the circuit.
The Event (3-day race weekend)
- Guests met at the hotel and transferred together in a VIP executive minibus to the circuit whilst enjoying refreshments.
- Our OE team member travelled with the group each day and stayed onsite at Silverstone for the duration to be available for any requests, errands and photo opportunities.
- Our team liaised with McClaren and Silverstone directly to ensure guests accessibility requirements, parking and any guest requests could be met.
- Each evening, guests were transferred directly to restaurants nearby to enjoy a relaxing end of day meal together. Our OE team member stayed with the group to ensure every element of the day was smooth and everyone enjoyed themselves, before transferring them back to the hotel.
Outcome
Despite the bustling crowds at Silverstone, which could easily lead to traffic delays, accommodation issues, and difficulty securing dinner reservations, the OE team ensured that all of Boomi’s guests arrived at the circuit with plenty of time to enjoy the atmosphere and watch all the races. They also provided nearby accommodation, excellent food options, and thoughtful touches that made the weekend stand out from other corporate hospitality experiences.
