LexisNexis Risk Solutions Trust: Live

Outsourced Events (OE) was to deliver comprehensive end to end event management services for our long-term client, LexisNexis Risk Solutions. The OE team was tasked with consulting on and overseeing the execution of this ticketed corporate event for over 250 delegates.

The services provided:

Budget management
Venue and Giveaway sourcing
Registration and onsite support
Event branding throughout (Including swag)
Production and AV coordination
Event logistics and being first point of contact for suppliers
Closing reception planning
Post event reporting

The Brief

The brief was to design and execute an industry event that was engaging, innovative, and interactive. OE was tasked with recommending venues and branding to ensure a high-calibre event, as well as managing everything else from inception to completion.

Challenges:

Access – The venue, 22 Bishopsgate has strict security measures, as the second tallest building in the UK it needs to ensure the security of all who visit and work there. As event organisers this posed a challenge for the team to ensure timely access for all delegates. However this was easily solved by the team, they informed all delegates ahead of time that a QR code was required for entry as well as including the relevant information in the joining instructions, sent prior to the event. Additionally, a member of the OE team was stationed at the entrance during registration times to facilitate smooth access for delegates.
Delivery – As part of the event logistics for set up the team were required to book a paid for slot to deliver all the inventory to the venue. To ensure a timely delivery that kept costs low for the client the team consolidated all necessary items into one shipment. This was made possible by the Warehouse that Outsourced Events have in London that can house event inventory.

Highlights

· Branded Merchandise - Small touches enhanced the experience for delegates, with giveaways which included branded branded popcorn, Rubix cubes and tote bags.

· All Sales Reps/Demo pods had individual access to the Crowdcomms - a lead scanning app that allowed the team to scan delegates in and record their conversations with pre-set qualifying questions.

The Event

The venue needed to be able to serve the high-tech event with state-of-the-art AV systems while providing multiple branding opportunities through multi screens and digital signage. 22 Bishopsgate was the perfect space for this event, with state-of-the-art meeting spaces and the latest built-in technology.

This was a single stream event that focused on the delegate journey, this meant that OE had to design an enhanced journey, offering an engaging user experience (UX) right from the moment they entered.

The UX was not only visually captivating but also rich in valuable content, with each touchpoint thoughtfully designed. The event housed branding on multiple demo pods, illuminated columns, screens and branded lockable counters for example. All of this ensured the LexisNexis Risk Solutions brand stood out. Alongside this the team also arrange for branded merchandise, these small touches ensure an enhanced experience for all delegates.

The closing reception was one of the highlights of the event, featuring outstanding entertainment from a talented guitar player and singer. The combination of their musical talent and the venue’s ambiance left a lasting impression on everyone present, ensuring the event concluded on a high note.

The Outcome

Despite the small challenges that arose, the team demonstrated resilience and efficiency, ensuring that the event not only met but exceeded expectations. The venue provided an exceptional setting, offering state-of-the-art facilities and a welcoming atmosphere that greatly contributed to the success of the event. In summary OE successfully delivered an outstanding event that brought positive feedback from both the LexisNexis Risk Solutions team and the delegates alike.
